The Proposed Solution & Technical Architecture

CandidRoot implemented a specialized Odoo architecture, transforming each physical truck into a localized "Virtual Warehouse" and streamlining the entire route-sales lifecycle.

Route Planning & Morning Dispatch

  • The Warehouse Manager utilizes daily demand estimation to allocate specific products and quantities to individual trucks.
  • Utilizing the Fleet and Sales modules, specific drivers are assigned to predefined custom routes (e.g., Truck 1 ➔ East Area, Truck 2 ➔ Market Yard).
  • An automated Internal Transfer is triggered in Odoo, moving stock from the Main Warehouse directly into the Truck’s Virtual Inventory. The dispatch is confirmed via optional barcode scanning, and the driver departs with an accurate loading sheet.

Moving Sales Activity (The Hybrid POS Approach)

  • To ensure high-speed operations without internet dependency, a Hybrid POS Strategy was recommended and implemented.
  • Instead of forcing a live mobile POS that suffers from network drops, drivers maintain manual/fast-billing records during the day to maximize customer coverage. The system architecture supports bulk POS entry at the end of the shift, ensuring 100% operational uptime on the road.

Day-End Return & Stock Reconciliation

  • Upon returning to the warehouse, the remaining physical stock is unloaded, triggering a reverse Internal Transfer (Truck Inventory ➔ Main Warehouse).
  • A critical Stock Reconciliation protocol is strictly enforced. The system automatically calculates: [Opening Stock] - [Sold Quantity] - [Damaged/Missing] = [Closing Stock].
  • Any discrepancies instantly flag the Odoo Inventory Adjustment module to account for shrinkage, theft, or damage, enforcing absolute driver accountability.

Cash Submission & Accounting Settlement

  • The driver logs into the Odoo POS to enter the day's total product-wise sales (e.g., Water Bottles: 120, Snacks: 45) and closes the daily POS session.
  • The Accounting module instantly captures cash collections, verifies pending credit sales, and maps all operational expenses. Cash is submitted to the cashier with a fully balanced, system-verified ledger.
